  1. I send a PDF, so I’m invoicing electronically

The Reality: A PDF is a digital document, but it is not an electronic invoice according to current legislation. Since January 1, 2026, a B2B invoice must consist of structured data (UBL) that can be read directly by computer systems. For the tax authorities, a PDF via email is no longer a valid invoice for VAT deduction between companies.

  2. E-invoicing is only for large corporations

The Reality: This is perhaps the most dangerous myth. The mandate applies to all VAT-registered businesses in Belgium. There are no exceptions for small self-employed individuals or micro-enterprises. Everyone must be able to send and receive via the Peppol network.

  3. It’s only mandatory if I work for the government

The Reality: That was the rule back in 2024. As of this year (2026), the obligation has extended to all transactions between businesses (B2B). If you invoice another Belgian entrepreneur, an e-invoice is the only legal way forward.

  4. I still have time to adapt

The Reality: Time is up. The mandate officially started on January 1, 2026. Businesses that are not yet compliant risk administrative fines that can reach up to €5,000 per violation. Furthermore, your professional clients can refuse your invoice because they cannot recover the VAT based on an invalid format.
